Operations Manager

Overview

We are seeking a dedicated and skilled Operations Officer to join our team on the Netherhall Estate near Finchley Road in Central NW London. This role requires a high level of responsibility and competence in managing a range of functions related to residence, administration, and maintenance. The successful candidate will do some work independently and is expected to support the Leadership Team.

The role is twofold encompassing operations at Netherhall House and overseeing the new Rutland retreat centre on the same estate. Netherhall House is a university students’ residence, dedicated to providing a supportive and enriching living environment for students, ranging from first year undergrads to PhDs. It serves as more than just accommodation; it’s a community that fosters educational growth, cultural exchange, and personal development. Located in a convenient and vibrant area, Netherhall House offers a unique blend of independent living and communal activities, making it an ideal residence for students seeking a balanced and engaging university experience. This establishment prides itself on its commitment to creating a diverse and inclusive atmosphere where students from various backgrounds can thrive both academically and socially.

Rutland House is a new educational conference centre. It will provide facilities for spiritual and professional retreats and conferences in a attractive and convenient location. It will offer a range of facilities to maximise the potential for individual growth and development whilst attending activities there. Some weekend working may be necessary but time off in lieu will be granted.

The ideal candidate will start with an initial contract length of 18 months. It is a full-time role. Current and former residents of Netherhall House are welcome to apply.

Key Responsibilities

Netherhall Residence

  • Admissions: Coordinate applications and interviews, manage licence agreements and deposits.
  • Arrivals: Oversee bookings, room preparations, welcome packs, access management, WiFi setup, etc.
  • Enquiries: Respond to enquiries via email, WhatsApp, and phone.

Rutland Retreat Centre

  • Bookings: Coordinate bookings, ensuring readiness of centre for arrivals etc
  • Enquiries: Deal with enquiries about availability etc via various communication mediums, in particularly managing the centre’s email address
  • Activities: Ensure welcome packs, access to the building etc on arrival. Be available to deal with queries as needed for those booked on to activities.

Administration

  • Accounting & Finance: Oversee invoices, payments, and financial reporting. Work closely with the secretary for payroll and tax matters.
  • Summer Courses: Ensure readiness of the house and rooms for summer courses.
  • Relationship Management: Maintain relationships with various related organisations, suppliers and contractors.
  • Events Calendar – coordinate House Calendar and diaries of Leadership Team.

Maintenance

  • General Maintenance: Manage maintenance manager’s day-to-day responsibilities and priorities. Monitor material care of both properties.
  • Vehicles: Manage vehicle maintenance, insurance and MOT.
  • Health & Safety: Ensure compliance with health and safety regulations, including fire safety, first aid, and risk assessments.

  • Strong organisational skills.
  • Excellent communication and interpersonal abilities.
  • Excellent level of English – both spoken and written.
